Speed-to-Lead
The Speed-to-Lead Playbook: Answer Every Lead in Under a Minute
Scripts, routing rules, and follow-up timing that turn inquiries into booked jobs.
· 10 min read
The business that responds first usually wins the customer. This playbook covers how to respond to every inbound lead — calls, Google chats, and web forms — in under a minute, without hiring more front-desk staff.
Map every entry point
List every way a new customer can reach you:
- Phone calls to your main line
- Google Business Profile calls and chat messages
- Website contact and quote forms
- Facebook and Instagram messages
Each one needs an instant acknowledgment and a clear next step.
The first response: acknowledge, qualify, commit
A great first text does three things:
- Acknowledges — confirms they reached a real business.
- Qualifies — asks the one question you need to help them.
- Commits — tells them what happens next.
"Thanks for contacting Brightside Dental! We're with a patient right now. Are you a new or existing patient, and what can we help with? We'll reply within a few minutes."
Scripts by channel
Missed call text-back
"Hi, you've reached [Business]. Sorry we missed you — we're with another customer. How can we help right now?"
Google Business Profile chat
"Hi! Thanks for reaching out to [Business]. What service are you looking for, and what's your ZIP code?"
Web form
"Hi [Name], got your request for [service]. Is this the best number to text you about scheduling?"
Follow-up timing
If a lead doesn't reply, follow up — politely:
| Timing | Message |
|---|---|
| +10 minutes | Short nudge with a direct question |
| +1 day | Offer two specific appointment times |
| +3 days | Final check-in, then stop |
Always make opting out easy
Every automated conversation should respect STOP requests immediately. It's required for SMS compliance and it protects your reputation.
Measure it
Track median response time and lead-to-booking rate every week. When response time drops, bookings go up.
